Refund Policy

Effective Date: December 20, 2025

Scope. This Refund Policy (“Policy”) sets forth the terms and conditions under which US Documentation Company LLC (“Company,” “we,” “us,” or “our”) will issue refunds for subscriptions to the RFRNT documentation platform (“Service”). This Policy is incorporated into and subject to our Terms of Service.

1. Initial Subscription Refunds

Eligibility. Customers who purchase a new subscription to the Service are eligible for a full refund of the initial subscription fee if a refund request is submitted within thirty (30) calendar days of the original purchase date (“Refund Period”).

Unconditional. Refunds requested within the Refund Period shall be granted without requiring justification or explanation.

Limitation. This refund right applies exclusively to the initial subscription term. It does not apply to subscription renewals, upgrades, or additional license purchases.

2. Renewal Subscriptions

Non-Refundable. Subscription renewals are non-refundable. Customers are advised to evaluate their continued need for the Service prior to each renewal date.

Advance Notice. We provide renewal notices via email at least fourteen (14) days prior to the renewal date. Customers who do not wish to renew must cancel their subscription before the renewal date.

Discretionary Exceptions. In exceptional circumstances, and at Company’s sole discretion, we may issue partial or full refunds for renewal subscriptions. Such exceptions are evaluated on a case-by-case basis and are not guaranteed. Factors that may be considered include, but are not limited to: (a) documented technical issues that prevented use of the Service; (b) extraordinary personal or business circumstances; and (c) the timing of the refund request relative to the renewal date.

3. Refund Request Procedure

Submission. To request a refund, Customer must submit a written request to the email address provided on our pricing page. The request must include: (a) the license key associated with the subscription; (b) the email address used to purchase the subscription; and (c) for renewal refund requests, a description of the circumstances warranting consideration.

Verification. Company may require reasonable verification of the Customer’s identity and purchase before processing a refund request.

Response Time. We will acknowledge refund requests within five (5) business days and provide a final determination within ten (10) business days of receiving all required information.

4. Refund Processing

Method. Approved refunds shall be issued via the original payment method where possible (e.g., credit to card on file), or by bank transfer or check if the original method is unavailable or impractical.

Processing Time. Refunds are typically processed within five (5) to ten (10) business days following approval. Actual credit timing may vary depending on the Customer’s financial institution.

Currency. Refunds shall be issued in the same currency as the original transaction. Company is not responsible for exchange rate fluctuations or fees imposed by Customer’s financial institution.

5. Effect of Refund

License Revocation. Upon issuance of a refund, Customer’s license to use the Service is immediately and automatically revoked.

Cessation of Use. Customer must immediately cease all use of the Service following a refund and uninstall or delete all copies of the software.

Data Retention. User Content stored on Customer’s servers remains Customer’s property and responsibility. Company has no access to and assumes no responsibility for such data.

6. Chargebacks

Dispute Resolution. Customers are encouraged to contact us directly to resolve any billing disputes before initiating a chargeback with their financial institution.

Chargeback Consequences. Initiating a chargeback without first attempting to resolve the dispute with Company may result in immediate termination of Customer’s account and license, and may affect Customer’s eligibility for future purchases.

7. Modifications to This Policy

Changes. Company reserves the right to modify this Policy at any time by posting the revised version on our website with an updated effective date. Changes to this Policy shall not apply retroactively to purchases made prior to the effective date of the modification.
